Instant Scribe is an AI assistant designed to attend, transcribe, track objectives, and summarize your video meetings (Zoom, Google Meet, Microsoft Teams). You own your meetings and content. We never sell your data or use your confidential audio/transcripts to train public foundation AI models. You agree to ensure that meeting participants are informed and consent to being recorded where legally required.
1. Acceptance of Terms
By accessing or using the website, software, APIs, or services provided by Instant Scribe, Inc. (“Instant Scribe”, “we”, “us”, or “our”), you (“User” or “Customer”) agree to be bound by these Terms of Service (“Terms”). If you are using the Service on behalf of an entity, you represent and warrant that you have authority to bind that entity.
2. Description of the Service
Instant Scribe provides an intelligent meeting facilitation and synthesis platform. Key capabilities include:
- Agenda planning and pre-meeting objective configuration.
- Automated bot attendance in supported video conferencing software (including Google Meet, Zoom, and Microsoft Teams).
- Live audio transcription, speaker diarization, and objective tracking (“Objective Sentinel”).
- Contextual in-meeting recommendations, timechecks, and agenda suggestions.
- Automated generation of post-meeting executive summaries, decision registers, and action items synced with third-party tools.
3. Recording Consent & Participant Notification
Many jurisdictions (including various U.S. states and international jurisdictions) enforce two-party or all-party consent laws regarding audio and video recording.
When you summon or configure Instant Scribe to join a conference, you represent and warrant that:
- You have notified all meeting participants that the meeting is being recorded and transcribed by an automated AI assistant.
- You have obtained all legally required consents and permissions from each participant prior to initiating the recording.
- You will not use Instant Scribe for clandestine surveillance, unauthorized wiretapping, or covert monitoring of any individual.
Instant Scribe automatically displays a visible participant indicator (e.g., “[Instant Scribe AI]”) and sends a welcome notification in the meeting room chat. You agree not to disable, mask, or circumvent these disclosure mechanisms.
4. Ownership of User Content & Zero-Training Commitment
As between you and Instant Scribe, you retain all right, title, and interest (including all intellectual property rights) in and to your meeting audio, video streams, transcripts, agenda notes, and generated summaries (“Customer Content”).
Zero AI Training Guarantee: Instant Scribe will not use your Customer Content (including confidential audio, transcripts, or meeting minutes) to train, re-train, or fine-tune public foundation AI models. Customer Content is utilized exclusively to provide the Service to you and your authorized team members.
5. Account Security & Responsibilities
You are responsible for safeguarding your authentication credentials (including Google OAuth and session tokens) and for all activities that occur under your account. You agree to notify Instant Scribe immediately upon discovering any unauthorized use or security compromise.
6. Third-Party Conferencing Platforms
Instant Scribe interfaces with third-party conferencing services, including Zoom, Google Meet, and Microsoft Teams. Your use of those platforms is subject to their respective terms and policies. Instant Scribe is not responsible for outages, API modifications, or policies instituted by third-party conferencing providers that may temporarily affect bot connectivity.
7. Disclaimers & Nature of AI Output
The Service utilizes machine learning and natural language processing models. While we strive for high accuracy, AI outputs (transcripts, summaries, action item interpretations, and meeting suggestions) may occasionally contain errors, hallucinations, or misattributions. The Service is an assistive productivity tool and should not be relied upon as a substitute for professional legal, medical, or financial advice.
8. Limitation of Liability
To the maximum extent permitted by applicable law, Instant Scribe and its affiliates, officers, employees, and licensors shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities, arising from your use of or inability to use the Service.
9. Termination & Modifications
You may terminate your account at any time. We reserve the right to suspend or terminate accounts that violate these Terms or threaten platform security. We may update these Terms from time to time by posting the revised version on this page with an updated “Last Updated” date.
